The work behind every purchase

Buying is the decision.
Chasing is the work.

Before a purchase can move forward, someone has to fill in the gaps. We're building procurement automation to handle that coordination, so your team can focus on the decisions.

“What exactly do we need?”

A request arrives. The quantity is there. The delivery date and cost center aren't.

Purchase requestIllustrative example
Material
Hydraulic oil

120 units
Required date

Cost center

What we're buildingCollect the missing details before sourcing starts.

“Are these quotes comparable?”

The lowest price is only part of the answer. Lead times and payment terms matter too.

Supplier quotesIllustrative example

QuotePer unitLead time
Supplier A$24.8012 days
Supplier B$26.405 days

Lower price or earlier delivery?

What we're buildingBring price, lead time, and terms into one comparison.

“Has the order shipped yet?”

The order is placed. Finding out what happens next means another supplier follow-up.

Delivery follow-upIllustrative example
  1. Order sentPurchase details shared
  2. Supplier confirmedOrder acknowledged
  3. Dispatch updateWaiting on the supplier

What we're buildingFollow up with suppliers and surface delivery updates.

“Does the invoice match?”

The invoice says one thing. The receipt says another. Someone has to find the difference.

108 units
Invoiced

12 invoiced units not recorded as received

What we're buildingFlag differences across the order, receipt, and invoice.

Agents prepare the information. Your team makes the call.

Meet the planned agents

Where to start

Start where the work gets stuck.

Look for a recurring task with clear inputs, a defined reviewer, and an outcome your team can check.

  • Scattered intakeYour team pieces together emails, messages, and spreadsheets before a purchase can start.
  • Complex comparisonsPeople need the same information on price, lead time, and terms to make a decision.
  • Disconnected handoffsRequesters, buyers, and finance need to follow the same order through delivery and invoice checks.

Recognize your process? Let's map one workflow together

The agents behind the workflow

Procurement automation, one task at a time.

We're developing five AI procurement agents for request intake, supplier sourcing, purchase order preparation, delivery tracking, and invoice matching. Explore what goes in, what comes out, and where your team takes over.

Invoice, purchase order, and goods receipt
Prepares
Matches and discrepancies to review

Your team's roleYour team resolves discrepancies and authorizes payment.

Integrations

Keep your tools. Connect the work.

A proposed connection layer between the places information lives and the purchasing work it supports.

Proposed connections: your systems feed Zupper.ai agents, which prepare purchasing outputs for your team.

Your existing systems

  • ERP & internal systemsPurchasing, inventory, and billing
  • Email & messagingRequests and supplier conversations
  • Documents & spreadsheetsQuotes, purchase orders, and invoices
  • DatabasesMaterials, suppliers, and prices

Proposed purchasing outputs

  • Structured requestsComplete information, ready to review
  • Comparable quotesPrices, lead times, and terms together
  • Orders & delivery updatesPurchase records and follow-up
  • Invoice checksMatches and discrepancies to review

Every connection starts with a compatibility review: your systems, available data, and access permissions.

Control and traceability

A clear boundary between preparation and approval.

The proposed workflow has a deliberate checkpoint: a person with the authority to decide. Agree the limits and exceptions before automating the steps.

  1. Zupper.ai prepares

    The information to decide.

Bring the request, supplier options, and purchase details together for review.

  2. Your team reviews

    The decision stays with you.

A designated reviewer checks the purchase against your limits and approval rules.

Changes needed? Return to team review before continuing.
  3. Approved work continues

    Move forward within the rules.

Prepare the order and follow delivery through to invoice checks, flagging exceptions for your team.

Together, we'd define approval limits, responsible reviewers, and which actions, documents, and decisions need to be recorded.

Before we get started

A few things to know.

Where the product stands, what we’re exploring, and what we’d define with you.

Have another question? Write to us
Is Zupper.ai available today?

Zupper.ai is in development. We're talking with interested teams to understand their processes and shape tailored demonstrations. Contact us to explore a workflow and agree what a demonstration should cover.

What is procurement automation?

Procurement automation uses software to carry out repeatable purchasing tasks, such as collecting purchase request details, routing approvals, preparing purchase orders, following up on deliveries, and checking invoices. Zupper.ai is being developed around these tasks, with your team setting approval rules and reviewing exceptions.

Which purchasing tasks are you focusing on?

We're focusing on the journey from purchase request to matched invoice: collecting missing details, finding suppliers, comparing quotes, preparing purchase orders, tracking deliveries, and checking invoices against orders and receipts.

How does three-way invoice matching work?

Three-way matching compares a supplier invoice with the purchase order and the goods receipt. It checks whether the billed quantities and prices agree with what was ordered and recorded as received. We're designing Zupper.ai to flag differences for your team to investigate before authorizing payment.

Who approves purchasing decisions?

Your team does. We're designing Zupper.ai around your approval rules, with designated people reviewing purchasing decisions and resolving exceptions. Approval limits and responsibilities would be defined together for your workflow.

Can Zupper.ai work with our existing systems?

We'd assess that with you. Our goal is to work within your existing purchasing process, but compatibility depends on your tools, data access, and requirements. We'd review those before agreeing on the scope of a demonstration.

Build with us

Bring us the purchase that takes too much chasing.

An incomplete request. A quote comparison. An order that needs another follow-up. Choose one recurring task and let's work through it together.

Discuss your workflow
  1. Map the bottleneck

Walk us through a recurring purchasing task, the tools involved, and where work gets stuck.

  2. Set the boundaries

Identify required information, approval limits, and exceptions your team needs to review.

  3. Make it concrete

See how the proposed workflow could work before deciding what to build together.
